An AI document processing system should convert each incoming waiver from an unstructured PDF into structured records. Optical character recognition alone is not enough. The system must understand what each field means and identify whether the information is complete and consistent.

Matching should use several identifiers rather than relying on one exact text match. Contractor names are often abbreviated, project names can change, and invoice numbers may be formatted differently across systems.

A useful workflow does not simply mark documents as “approved” or “rejected.” It categorizes exceptions so the right person can resolve them quickly.
